A successful exhibition begins long before the booth is built.

From choosing the right exhibition and defining clear objectives to preparing the booth, staff, and necessary materials, every step plays an important role in helping businesses make the most of their exhibition opportunities. With our experience in booth design, construction, and on-site support, we work alongside businesses throughout the preparation process — from the initial concept to having the booth fully ready to welcome visitors.

1. How to Choose the Right Exhibition

RIGHT EXHIBITION = Right Market + Right Audience + Right Opportunity

Not every exhibition is the right fit for your business. Before booking a booth, consider the industry, target audience, exhibition scale, location, and your business objectives. Are you looking to find new customers, connect with distributors, develop busi ness partnerships, or increase brand awareness? It is also important to understand the exhibition’s target audience and evaluate how closely they align with your business and target market.

The right exhibition is not necessarily the largest one — it is the one that connects you with the right customers and the right opportunities.

2. How to Prepare for an Exhibition in Vietnam

Each exhibition in Vietnam may have different requirements for venue, booth construction, setup schedules, and on-site operations. Careful preparation is essential to ensure a smooth exhibition experience.

Before the exhibition, make sure to confirm:

• Booth size, location & organizer regulations

• Design, construction & installation requirements

• Electricity, lighting, internet & equipment

• Product transportation & storage

• Printed materials & promotional items

• Staffing & on-site responsibilities

• Visitor communication & lead collection

For international exhibitors, having a local team on the ground can make prepara tion and execution much smoother. We support businesses from booth design and construction to installation and on-site support, allowing them to focus on their business while we take care of the exhibition space.

3. Exhibition Preparation Checklist

Thorough preparation helps minimize potential issues before and during the exhibition. A basic checklist may include:

  • Define your objectives and target audience

  • Confirm the booth size, location, and exhibition regulations

  • Finalize the booth concept and design

  • Prepare logos, images, graphics, and product information

  • Confirm furniture, lighting, electricity, and AV equipment

  • Prepare products and display samples

  • Plan transportation and installation

  • Assign staff and create the booth duty schedule

  • Prepare brochures, business cards, QR codes, and lead collection materials

  • Conduct a final inspection of the entire booth before the exhibition opens

Reviewing each item clearly and systematically helps businesses identify any missing details before they become problems at the exhibition.

4. How Early Should You Start Planning?

START EARLY, HAVE MORE OPTIONS

The earlier you start, the more options you have. For custom-designed booths, we recommend starting the preparation process at least 2–3 months before the exhibition. For larger booths, international exhibi tions, or projects involving special structures, more preparation time may be required. Starting early gives businesses more time to refine the design, control costs, coordinate production, and prepare their team, while also minimizing last-minute risks and unexpected issues.

MORE THAN JUST A BOOTH

An exhibition is more than simply a booth. It is an opportunity to present your brand, connect with potential customers, and create new business opportunities. With proper preparation and a reliable local partner, businesses can enter the exhibition with confidence and control — with their team prepared and every important detail checked and ready.
